Payroll Administrator (Full-Time)

Overview

We are seeking an experienced Payroll Administrator to manage and process high-volume, multi-state, and union payroll in a fast-paced environment for one of our clients in Clearwater. This role will be responsible for ensuring accurate, timely payroll execution for a large workforce, maintaining compliance with federal and state regulations, supporting union contract requirements, and serving as a payroll resource for employees, managers, and leadership.

The ideal candidate has deep hands-on experience with ADP Workforce Now, thrives in a detailed, deadline-driven setting, and brings expertise in complex payroll processing including wage garnishments, multi-state taxation, benefits deductions, and union-specific calculations.


Key Responsibilities

Payroll Processing (High Volume, Multi-State & Union)

  • Process weekly and bi-weekly payroll for a large employee population across multiple states.
  • Manage full-cycle payroll in ADP Workforce Now, including data entry, imports, adjustments, and payroll auditing.
  • Ensure compliance with union contracts, including wage schedules, shift differentials, premiums, dues, and fringe benefits.
  • Maintain and update employee payroll records including earnings, deductions, tax changes, job changes, and direct deposit information.
  • Validate hours submitted through timekeeping systems; partner with supervisors to resolve discrepancies prior to processing.
  • Administer garnishments, child support orders, tax levies, and wage attachments.
  • Calculate and process bonuses, retroactive payments, manual checks, severance, and special payroll runs as needed.

Compliance & Reporting

  • Ensure payroll compliance with federal, state, and local regulations, including multi-state tax withholding and reporting.
  • Maintain strict adherence to union policies, CBAs, and wage determination requirements.
  • Prepare payroll reports for Finance, HR, auditors, and regulatory bodies.
  • Reconcile payroll accounts, including earnings, taxes, deductions, and benefits.
  • Support year-end payroll activities, including W-2 preparation and auditing.

Employee & Manager Support

  • Serve as the primary contact for payroll questions, resolving issues with professionalism and accuracy.
  • Assist employees with direct deposit changes, W-4 updates, pay discrepancies, and system access issues.
  • Partner with HR on new hires, terminations, transfers, and employee record accuracy.

System & Process Improvement

  • Utilize ADP Workforce Now reporting tools to audit data, identify errors, and drive efficiency.
  • Recommend and help implement process improvements to streamline payroll workflows.
  • Assist with system upgrades, integrations, and testing related to payroll functionality.

Qualifications

  • 3-5+ years of payroll experience, preferably in high-volume, multi-state environments.
  • Strong working knowledge of ADP Workforce Now (required).
  • Demonstrated experience processing union payroll and understanding of collective bargaining agreements.
  • Expertise with payroll regulations, taxation, wage & hour laws, and deduction rules.
  • Strong proficiency in Excel (pivot tables, lookups, auditing tools).
  • Excellent organizational skills and attention to detail with the ability to meet tight deadlines.
  • Strong communication skills and ability to support employees at all levels.
  • Ability to maintain confidentiality and handle sensitive information.
